How to check if your resume is ATS friendly
"ATS friendly" means two separate things: a machine can read your file, and the wording matches the job you are applying to. You can verify the first in about two minutes with a plain-text test, and the second by scoring your resume against the actual posting. Here is the full check.
The 2-minute plain text test
Open your resume, select everything, and paste it into Notepad, TextEdit in plain text mode, or any code editor. What you see is roughly what the parser sees. Read it top to bottom and ask:
- Is the reading order still logical, or did columns interleave?
- Did every bullet point survive as text?
- Are your name, email and phone number present?
- Are the section headings still recognisable?
- Did any content disappear completely?
If nothing was lost or reordered, your formatting is fine. If it scrambled, rebuild in a single-column layout before you worry about keywords.
Step-by-step ATS friendliness checklist
- 1. Run the copy-paste plain text test. Open your PDF, select all, and paste into a plain text editor. If the order scrambles, columns merge, or bullets vanish, an applicant tracking system will read the same mess.
- 2. Confirm your contact details survive. Check the pasted text contains your name, email and phone. Details placed in the page header or a text box are the most common thing parsers drop.
- 3. Check the section headings. Look for literal headings: Experience, Education, Skills. Creative labels like 'Where I've Made an Impact' often get filed as unclassified text.
- 4. Verify dates and job titles parse cleanly. Every role needs an employer, a title and a consistent MM/YYYY date range on its own line, so the system can build your work history.
- 5. Compare keywords against a real job description. Paste the posting next to your resume and mark every required skill, tool and title. Missing terms are the gap that lowers your match score.

Formatting red flags to remove
- Two-column or sidebar layouts
- Tables, text boxes and charts
- Icons, logos, photos and skill rating bars
- Contact info inside the page header or footer
- Fonts embedded as images or scanned pages
- Non-standard section names
- Dense keyword lists with no context
None of these look bad to a human. They break parsers, which is the only reader that matters before the shortlist.
Formatting is only half the check
A perfectly parseable resume still ranks poorly if it describes your work in different words than the posting. If the job asks for "stakeholder reporting" and your bullet says "shared monthly updates with leadership," a keyword match will not connect them. Rewriting to the employer's vocabulary — without claiming anything you did not do — is what moves the score.
